Privacy Policy

This policy explains what personal data ChatQuip collects when you apply for a position, why we collect it, how long we keep it, and what rights you have over it. It applies to the application form and any related communication on chatquip.com.
What data we collect
When you fill in the application form we collect the information you provide directly: your name, a contact method (email, Telegram, or phone), the position you are applying for, your self-assessed English level, and how you heard about us (source).
We also collect technical metadata automatically: your IP address and the approximate location (country, region and, where available, city and coordinates) derived from it, your internet provider, browser and device details, timezone, and the referring page. If you arrived through an ad or tracked link we also record campaign parameters and click identifiers (such as UTM tags, gclid, fbclid). This is used to keep the funnel secure and to understand which channels bring applicants — never to build an advertising profile of you.
Why we collect it
We use application data to process your submission, contact you about the position, run your interview and, if hired, set up your offer agreement and payouts. Technical metadata is used for spam and fraud prevention and for aggregate analytics — for example, understanding which pages or channels bring the most applicants. We do not use your data for advertising or resell it in any form.
Legal basis for processing
We process your application to take steps toward a possible working relationship at your request (Article 6(1)(b) of the GDPR), and we rely on our legitimate interest in preventing fraud and abuse and in understanding our recruitment channels for the technical metadata (Article 6(1)(f)).
Where your data is stored
Applications are stored in Cloudflare D1, a managed database running on Cloudflare's infrastructure with data centers in the EU and US. Access is limited to the ChatQuip team members involved in hiring. We do not maintain a separate, unencrypted copy of your data outside this system.
How long we keep it
We keep application data for up to 24 months after your last contact with us, after which it is deleted or anonymized, unless you ask us to delete it sooner — see "Your rights" below. If you want your data removed earlier, the fastest way is to ask us directly.
Sharing with third parties
We do not sell or rent your data to anyone. The only case where your details are shared with a third party is when you are actually hired and matched to a partner platform for your work — and that only happens with your knowledge, as part of moving forward with an offer. We never hand application data to advertisers, data brokers, or unrelated companies.
When you submit the form, a notification containing your application details is also delivered to our hiring team through Telegram. That notification is processed by Telegram Messenger under its own terms and privacy policy, which may involve storage outside the EU.
Cookies and local storage
We do not use tracking or advertising cookies. The form uses your browser's session storage only to remember the first page you landed on within a single visit, which helps us understand our funnel; it is cleared when you close the tab and is never used to track you across other sites. If this changes in the future, this policy will be updated in advance to describe what is used and why, along with any consent mechanism required.
Your rights
You have the right to access, correct, delete, restrict or object to our processing of your data, to receive a copy in a portable form, and — if you are in the EU/EEA — to lodge a complaint with your local data-protection authority. To exercise any of these, write to hello@chatquip.com with the contact details you used when applying, and we will action it as soon as we can confirm your identity.
Changes to this policy
We may update this policy as ChatQuip grows — for example, if we add new tools or start using cookies. Material changes will be reflected in the "Updated" date at the top of this page. We encourage checking back occasionally if you have an ongoing relationship with us.
